You're trusting us with a client relationship. Here's exactly what we do with it.
This is written the way we'd explain it on the phone. If any of it is unclear, tell us and we'll fix the page.
What we keep
Your name and email address. Your client's name and email address. The property address, the dates we read off the contract, and the text of every update you approved.
That's everything. Each of those exists because an update can't go out without it. If a field wasn't needed to send your client an email, we didn't build it.
What we never keep
The contract itself. We read the text out of the PDF, take the dates, and then let the file go. It's never saved, so there's no copy of it in our database.
Your card details. Payment happens on the processor's own page, and we only ever see that a payment succeeded and which email address made it.
What we do with your client's details
Their address exists in our system for one purpose: carrying the updates you approve. We write to your client when you press send, and at no other time. So there's no welcome email from us, and no survey either.
Selling that address, or handing it to another company for marketing, is off the table. It stays inside this transaction.
The page your client opens has no login, no cookies and no analytics. We can't tell whether they read it, because we didn't build a way to find out.
Who else touches it
We're a small company, so we rent the plumbing. Hosting, the database, email delivery and payments are each run by an outside vendor, and each one sees only the part it needs to do its job.
Those four are the only companies that touch any of this, and none of them may use it for their own purposes.
Getting rid of it
Cancelling a transaction stops every update immediately. If you want it erased as well, just ask: we delete the transaction along with your client's name and address. One email does it, and it happens the same day.
Write to closewell@nanocorp.app and put the property address in the subject line. We read every message that arrives there.
If something goes wrong
If we ever lose data, or send an update to the wrong person, you hear it from us first. We'll tell you what happened and what we did about it. You shouldn't have to find that out from your client.
